JOB OVERVIEW

JOB TITLE:  Intake Specialist

DEPARTMENT:  Administration

LOCATION:  Buffalo, NY

DIRECT SUPERVISOR:  Chief Operations Officer (COO)


GENERAL JOB DESCRIPTION

Assist consumers through the Intake process. Process and assign the appropriate staff person to work with each consumer.


SPECIFIC DUTIES & RESPONSIBILITIES

  1. Assist consumers through the Intake process.
     
  2. Process completed consumer intakes entering demographics into the Western New York Independent Living, Inc (WNYIL) Electronic Consumer Record (ECR).
     
  3. Identify and assign the appropriate WNYIL program and service for each consumer within twenty-four (24) hours of the request to intake.
     
  4. Provide general information and referral to the public on topics relating to WNY Independent Living, Inc. and persons with disabilities such as peer counseling, advocacy, benefits advisement, housing, and adaptive aides.
     
  5. Participate in regular training and educational activities to keep current with programs and services available to people with disabilities.
     
  6. Provide in-person intake and I&R services for scheduled and walk-in appointments.
     
  7. Manage and maintain ECR according to appropriate procedures and confidentiality policies.
     
  8. Accurately document consumer demographics and services in WNYIL’s within the same day of service.
     
  9. Answer phone calls and respond to voicemails in a courteous and timely manner.
     
  10. Assist with internal referrals between WNYIL programs.
     
  11. Assist with providing backup to Record Specialist when necessary.
     
  12. Attend Agency’s in-service training and staff meetings as well as any other agency-related activities as required.
     
  13. Participate in maintaining a neat, clean and safe work environment.
     
  14. Perform other job-related duties as assigned by the supervisor.

EDUCATION & TRAINING

High school diploma or equivalent required
          OR
Associate Degree


KNOWLEDGE & EXPERIENCE (if required)

  • High school diploma or equivalent requires at least two (2) years’ experience in general office work.
     
  • Selected candidate should possess knowledge of persons with disabilities, as well as federal and state laws pertaining to the rights of persons with disabilities.

SKILLS & ABILITIES

  • Able to type forty (40) words per minute.
     
  • Fluency in Spanish, Russian or other languages spoken in WNY strongly preferred but not required.
     
  • Experience working with individuals with disabilities is preferred.
     
  • Must have intermediate level knowledge of computers including the use of Excel spreadsheets, databases, word processing, and networks.
     
  • Perform in a professional, conscientious, and efficient manner for the purpose of ensuring a better quality of life for persons with disabilities.

WORKING CONDITIONS

WORK ENVIRONMENT:  Office

PHYSICAL DEMANDS OF THE JOB:  Sitting for extended periods of time.
Occasional lifting of not more than 15 pounds.

HOURS / SHIFTS:  37.5 – 40 hours per week. M – F 8:30 a.m. – 5:00 p.m.
Overtime rarely required.

CLASSIFICATION:  Full-time, salary, non-exempt, Support staff.
Salary:  $40,000 annually
