JOB TITLE:  Receptionist

DEPARTMENT:  Independent Living of Niagara County (ILNC)

LOCATION:  Niagara Falls, N.Y.

DIRECT SUPERVISOR:  Office Administrator, ILNC


GENERAL JOB DESCRIPTION

Answer incoming agency calls and redirect them to appropriate staff. Greet all visitors entering the agency. Perform general office duties, including mail, bulk mailings, copying, faxing, reception, general typing and other miscellaneous clerical office functions.

SPECIFIC DUTIES & RESPONSIBILITIES

  1. Perform as ILNC's main receptionist by answer, screen, forward incoming phone calls and direct all outside calls to appropriate staff and / or department.
     
  2. Receiving visitors at the front door by greeting, signing in, and notifying appropriate staff of individuals arrival.
     
  3. Receive, sort and distribute all incoming mail.
     
  4. Collect and post all outgoing mail in the ILNC location.
     
  5. Monitor and maintain the office supply inventory closet.
     
  6. Help with medical loan closet in cooperation with the ILNC Office Administrator.
     
  7. Provide staff access to the ILNC file-room, ensuring information security protocols are followed and an organized work environment is maintained.
     
  8. Provide general information and referral to the public on topics related to persons with disabilities e.g., housing, and adaptive aides.
     
  9. Accurately record consumer services and any required documentation in the Electronic Consumer Record (ECR) database within two (2) working days of the date of service.
     
  10. Perform Consumer Satisfaction Call Requests as entered by staff and enter survey results from those calls as well as from completed survey cards.
     
  11. Assist with the cleanliness of the main entrance by picking up trash / litter outside.
     
  12. Maintain office security by following safety procedures and controlling access to the building.
     
  13. Attend Agency’s in-service training and staff meetings as well as any other agency-related activities as required.
     
  14. Participate in maintaining a neat, clean, and safe work environment.
     
  15. Perform any other duties as deemed legally and ethically necessary by the Supervisor.

EDUCATION & TRAINING

High school diploma or equivalent
          OR
Associate degree in Business, English or related field

Professional and life experience may be considered in lieu, in full or in part, of academic credentials.


KNOWLEDGE & EXPERIENCE (if required)

High school diploma or equivalent requires one (1) year of experience in general office work or customer service experience.


SKILLS & ABILITIES

  • Must be able to type at least thirty-five (35) words per minute and answer a multi-line phone.
     
  • Must have excellent writing and communication skills.
     
  • Multi-tasking and time management skills with the ability to prioritize tasks are essential for this position.
     
  • Niagara county residents are encouraged to apply.
     
  • Must have intermediate level of knowledge of computers including the use of Excel spreadsheets, databases, word processing and networks.
     
  • Perform in a professional, conscientious, and efficient manner for the purpose of ensuring a better quality of life for persons with disabilities.

WORKING CONDITIONS

WORK ENVIRONMENT:  Office / occasional, light tasks outdoors

PHYSICAL DEMANDS OF THE JOB:  Sitting for extended periods of time.
Occasional lifting of not more than 15 pounds.
Occasional bending, reaching, and grasping.

HOURS / SHIFTS:  37.5 hours per week.
M – F 8:30 a.m. – 5:00 p.m.
Overtime rarely required.

CLASSIFICATION:  Full-time, hourly, non-exempt, Support staff.
Rate: $16.92 per hour.
